This Privacy Policy explains how TrustEase ("TrustEase," "we," "us") collects, uses, shares, and protects information when you use our websites and trust-administration platform (the "Service"). By using the Service, you agree to the practices described here.
Information you provide: name, email address, password, role, organization details, trust information (such as trust name, type, governing state, EIN, and asset details), beneficiary information, documents you upload, distribution records, and messages you send us (including demo bookings and support requests).
Financial account information: when you link a bank or investment account, we receive account details (institution, account type, masked account number, balances, and transactions) through our data aggregation partners such as Plaid. We do not receive or store your banking credentials — those are provided directly to the aggregation partner.
Information collected automatically: log data such as IP address, browser type, pages viewed, timestamps, and actions taken in the platform (which also power the in-app audit log), plus cookies and similar technologies needed to keep you signed in and secure the Service.
We use information to: provide and operate the Service; sync financial data you have linked; process distributions and related workflows you initiate; generate reports and audit trails; power optional AI-assisted features; send transactional emails (such as welcome messages, password resets, and booking confirmations); respond to inquiries; improve and secure the Service; enforce our Terms; and comply with legal obligations.
When you use AI-assisted features, relevant trust data (such as asset summaries, distribution history, and compliance status) and your questions are transmitted to our AI provider to generate a response. We do not permit our AI providers to use your data to train their models under our agreements with them.
We do not sell your personal information. We share information only with:
We use industry-standard safeguards: encryption in transit (TLS) and at rest for sensitive fields (such as financial access tokens), hashed passwords, role-based access controls, and tamper-evident audit logging. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security; please use a strong, unique password and keep it confidential.
We retain your information for as long as your account is active or as needed to provide the Service, meet legal and regulatory obligations (including record-keeping duties relevant to fiduciary administration), resolve disputes, and enforce agreements. When you close your account, you may request an export of your data; we then delete or de-identify personal information within a reasonable period, except where retention is legally required.
Depending on where you live, you may have rights to access, correct, export, restrict, or delete your personal information, and to object to certain processing. You can exercise most of these directly in the platform (profile and trust settings) or by emailing support@trustease.com. We will respond within the timeframe required by applicable law. You may unlink financial accounts at any time, which stops further data collection from that institution.
We use strictly necessary cookies for authentication, security (such as CSRF protection), and session preferences. We do not use third-party advertising cookies. Most browsers let you control cookies; disabling essential cookies will prevent the Service from working.
The Service is not directed to children under 18, and we do not knowingly collect personal information from them as account holders. Trust records may lawfully reference minor beneficiaries when provided by an authorized adult user; that information is used solely to provide the Service.
The Service is operated from the United States, and information is processed and stored in the United States. If you access the Service from another jurisdiction, you consent to the transfer of your information to the U.S., where data-protection laws may differ from those in your jurisdiction.
We may update this Policy from time to time. Material changes will be announced by email or in-app notice, and the "Last updated" date above will be revised. Continued use of the Service after changes take effect constitutes acceptance.
